In Canada, translated documents, particularly in circumstances where they are being submitted to public officials for the establishment or settlement of official or legal matters, often require that they be certified by a translator who is duly recognized by a translation licensing body and officially approved for the purpose. In some circumstances, the documentation being certified must bear the official seal of a duly accredited translator. In other instances, documents must be notarized or accompanied by a sworn statement.

In the United States, the requirements are different -- at least insofar as any documentation required by US Immigration is concerned. The US Citizenship and Immigration website states that:

"Any foreign language document offered by a party in a proceeding shall be accompanied by an English language translation and a certification signed by the translator that must be printed legibly or typed. Such certification must include a statement that the translator is competent to translate the document, and that the translation is true and accurate to the best of the translator's abilities."

There is no mention of the words "certified translator" "notarization" or "notarized translation" in the US Citizenship and Immigration information. They require a "certification signed by the translator" as opposed to a translation rendered by a certified translator (aka accredited translator). A note on Notarized Translations:
Notarization and Certification are two distinct and separate matters.

Notarized translations are governed by local laws in each country. In a non-notarized or non-certified translation the translator may be entitled to render a personal style and tone to the translated text, to make it more readable to the target audience — a process sometimes referred to as localization (the process of translating a product into different languages or adapting a language for a specific country or region).

A translation that is notarized is a translated document carrying the authenticated signature(s) of the translator(s) authorized or required to sign it, and the signature of a notary public witnessing the signature(s), accompanied by an impression of his or her official notary seal. A notarized translation is not necessarily a certified translation. For a full definition of notarized translation see: What is a notarized translation?"

However, in order to be accepted by the courts and/or public authorities, a notarized translation must be an accurate reflection of the source language and must usually include a statement from the translator certifying the work together with a signature and/or seal which, in certain jurisdictions, only translators with the authority to certify translated works may use.

Descriptions, such as "Official translation", "Certifying the correctness of the translation", "Certifying word-by-word compliance of the translation", or similar phrases may not be officially recognized certification clauses depending upon the applicable laws in a given jurisdiction. To secure a CERTIFIED TRANSLATION follow these steps:

Step 1: Send your documents and information

Go to our Request a Quote page and attach the document(s). The ideal format for document submissions is in a format that we can edit: MSWord (.doc or docx); Adobe Acrobat (pdf); Power Point (.ppt); MSExcel (.xls).

You may e-mail us the documents to expedite a response (send your e-mail to service[at-sign]@wedotranslation.com) along with your file(s).

You may also fax us the document(s) to be translated (Fax: 613-221-9511).

Be sure to include your full contact information (name, phone number, mailing address with zip code or postal code, e-mail address). We will respond by e-mail or phone within 24 hours with a quote.

Step 2: Payment

Once you have reviewed and accepted the price we have quoted and you have confirmed that you want us to proceed with the translation assignment we will confirm receipt of your service order via e-mail and will include an invoice for the amount quoted in .pdf format.

Before we begin the translation, we require that you call us with your payment information: Our methods of payment are VISA, MasterCard or e-mail money transfers through RBC, TD, Scotia bank, CIBC or BMO. All certified translation orders must be pre-paid in full before we begin the translation.

Step 3: Translation and Delivery

Our process for certified translations is to provide you with a draft of the translated document(s) via e-mail for your review and approval. Once you have approved the translation and we have received your confirmation via e-mail that we can print and certify the documents, the translator would then affix his/her stamp to the translated document(s), following which we would have the certified translation sent to you via courier. A courier service tracking number would be provided to you.

Within Canada, courier service is via Purolator express envelope, usually next day delivery, i.e. one business day. (Other courier services also available.) Shipping & handling costs will vary depending upon delivery address and service time frame requested. Please provide your postal/zip code to secure a precise quote for shipping & handling fees.

Certified Translation and Notarized Translation De-Mystified:

Certification: A certified translation usually consists of a certification stamp (seal) along with a statement/declaration signed by the translator, attesting that the translator believes the target-language text to be an accurate and complete translation of the original-language text. Typically, the translator would affix their stamp on the hard copy (paper copy) of the translation. The certified translation is performed by a translator whose qualification is certified by a certificate issued by a provincial association such as the Association of Translators and Interpreters of Ontario (ATIO). The individual or organization requesting the certified translation can contact the association to verify the translator's credentials.

Notarization: A sworn affidavit may be required if the organization requires the translator's declaration or statement to be witnessed and sealed by an official such as a Notary Public or Commissioner of oaths. The Notary Public or Commissioner would verify the identity of the translator, satisfy herself / himself of the genuineness of the signature, and administer an oath or solemn affirmation. The Notary Public or Commissioner of oaths is not attesting to the accuracy of the translation. The organization to whom you are submitting the translation will inform you as to whether or not a sworn affidavit in addition to the certified translation is required.

The types of documents can vary widely and may include: Birth Certificates; Marriage Certificates; Divorce Decree Papers; Death Certificates; Diplomas; Academic Transcripts and Certificates; Official Identity Documents (Birth Certificate, Driver's License, Passport Pages, Baptismal Certificates, etc.); Work Records; Pension Papers; Proof of Income Documentation and/or Tax Returns; Private Correspondence and References; Special Authorizations (Child Adoption Paperwork, Parental Consent to Travel for a Child who is a Minor); Legal Documents (Power of Attorney, Contracts, Agreements, etc.)
